About the role
Key responsibilities & impact- Provide primary administrative support to multiple east coast attorneys and assist west coast attorneys as needed
- Coordinate internal and external meetings and conference calls, including conference room and IT support
- Organize project files and related information in department document databases
- Manage Outlook calendars, contacts, project contact lists, and calendars
- Prepare and submit travel and expense reports
- Maintain relationships with internal departments and external parties
- Research and prepare materials and charts for projects
- Format time-sensitive documents
- Manage document distribution
- Assist with proofreading, redlining, and comparing legal documents
- Track contract deadlines, renewals, and expirations
- Process and track outside counsel invoices and legal department expenses
Requirements
What you’ll need- Minimum 2 years of administrative experience, preferably in a legal setting (not including internships)
- Bachelor’s degree or equivalent work experience preferred
- High proficiency with PC and Microsoft software including Outlook, Word, Excel, and PowerPoint
- Exceptional organizational skills and attention to detail
- Excellent written, verbal, and interpersonal skills
- Ability to interface with senior management, staff, administrators, and external parties
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Ability to handle sensitive and confidential information with discretion
- Strong problem-solving skills
- Ability to work independently
