About the role
Key responsibilities & impact- Manage the EIR’s calendar, including scheduling meetings, prioritizing appointments, and resolving conflicts.
- Coordinate meetings with internal teams, external partners, and collaborators across departments, working closely with the other executive leadership admin teams.
- Screen and respond to emails and other communications on behalf of the EIR.
- Prepare agendas, take meeting notes, and follow up on action items.
- Arrange domestic and international travel, including itineraries and logistics.
- Process monthly expense reports and maintain accurate records.
- Assist in the preparation of presentations, reports, and other executive-level documents.
- Support planning and execution of team offsites, product reviews, and executive team summits.
- Maintain confidentiality and oversee sensitive information with discretion.
- Collaborate with other executive assistants and department coordinators to ensure alignment across the organization.
- Track key product achievements and assist in compiling updates for executive reporting.
- Automate / Improve Executive Support Using AI.
- Use project management software (Asana) to track open items and needs from executive and surrounding collaborations.
- Conduct research and gather data to support critical initiatives.
Requirements
What you’ll need- Bachelor’s degree preferred
- 6+ years of experience in an executive support role, preferably in a tech or product-driven organization.
- Able to work outside of normal business hours and be on call as needed.
- Proficiency in Microsoft Office Suite, Google Workspace, and collaboration tools like Slack, Asana, or Notion.
- Experience using AI technologies to streamline and enhance administrative tasks.
- Experience supporting C-level executives in a fast-paced, high-growth environment.
- Strong written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to manage multiple priorities and projects simultaneously.
- High level of professionalism and discretion in handling confidential information.
- Self-starter with good judgment and attention to detail.
- Passion for technology, innovation, and product development.
