About the role
Key responsibilities & impact- Support an executive-level leader within Paramount Advertising
- Respond quickly, accurately, and thoughtfully to direct and anticipated needs
- Coordinate heavy travel itineraries, including flights, hotels, car services, itinerary actions, and expenses
- Manage complex calendars and meetings involving multiple participants and locations
- Coordinate agendas, meeting notes, action items, and follow-ups
- Manage meeting presentations, conference rooms, and AV equipment logistics
- Plan and execute department events and offsites, including logistics, vendors, catering, guest lists, and on-site support
- Track deliverables, deadlines, follow-ups, preparation, and materials for the EVP and executive team
- Maintain organizational charts and distribution lists, and send department-wide communications
- Screen and respond to phone calls, emails, and packages
- Collaborate with Ad Sales executives and executive assistants to gather information, solve problems, and achieve results
- Manage special projects and occasional personal errands
- Prioritize and organize daily tasks while monitoring email during and around working hours
Requirements
What you’ll need- 8+ years of experience as an Executive Assistant, preferably within media, entertainment, technology, or marketing-driven environments
- 3+ years supporting a C-suite executive
- Advanced proficiency with Microsoft Office and/or Google Workspace, including Outlook/Calendar, Excel/Sheets, PowerPoint/Slides, and Word/Docs
- Experience with expense and travel systems such as Concur and Workday
- Exceptional organization, professionalism, and ambition
- Robust administrative or internship experience
- Good judgment and discretion when interacting with Senior Executives, Industry Leaders, and other important partners
- Solid writing, editing, and proofreading skills
- Ability to manage multiple priorities and work under pressure
- Proficient interpersonal skills and a confident, polished presence
