About the role

Key responsibilities & impact
  • Provide day-to-day executive and administrative support to company leadership
  • Assist with logistics coordination, delivery scheduling, and operational follow-up
  • Manage independent driver records, availability, documentation, and contact information
  • Communicate with drivers about assignments, schedules, pickup details, delivery requirements, and operational updates
  • Assist with recruiting, onboarding, and relationship management for independent contractors and delivery drivers
  • Track driver documentation, background checks, insurance information, licenses, and compliance records
  • Research and complete contract applications, bids, and vendor registrations
  • Monitor contract opportunities, deadlines, application requirements, and follow-up activities
  • Prepare and organize contract submission documents
  • Maintain records of contracts, opportunities, customers, and drivers
  • Coordinate communication among leadership, drivers, clients, vendors, and business partners
  • Respond to calls, emails, and general business inquiries
  • Assist with quotes, delivery information, availability, and scheduling
  • Monitor active deliveries and follow up on pickup and delivery status
  • Maintain accurate information in CRM, scheduling, dispatch, and administrative systems
  • Prepare reports, spreadsheets, presentations, invoices, and business documents
  • Manage calendars, meetings, reminders, and leadership scheduling
  • Assist with billing, invoicing, payment tracking, and administrative financial tasks
  • Research prospective clients, partnerships, delivery opportunities, and new markets

Requirements

What you’ll need
  • Up to 2 years of experience as an Executive Assistant, Administrative Assistant, Operations Assistant, Logistics Coordinator, or similar role
  • Strong administrative, clerical, and organizational background
  • Transportation, delivery, logistics, courier, trucking, or contractor-based business experience preferred
  • Experience coordinating independent contractors or remote workers highly desirable
  • Strong written and verbal communication skills
  • Professional phone and email communication abilities
  • Excellent organizational and time-management skills
  • Strong attention to detail and accuracy
  • Ability to manage multiple priorities and changing deadlines
  • Experience with Microsoft Office, Google Workspace, spreadsheets, and cloud-based business applications
  • Familiarity with CRM, dispatch, project management, or logistics software preferred
  • Experience researching and completing business applications, contracts, bids, or vendor registrations is a plus
  • Comfortable learning new software and business processes quickly
  • Strong problem-solving and decision-making abilities
  • Ability to work independently with minimal supervision
  • Professional, dependable, and capable of handling confidential business information
