About the role
Key responsibilities & impact- Own and continuously improve our process systems (primarily ClickUp and Zapier, N8N, and similar), keeping them clean, reliable, and easy to use
- Audit and redesign our ClickUp structure, workflows, and logic to better match how teams actually work
- Build and maintain smart automations to reduce manual work and remove bottlenecks
- Establish simple process governance (documentation, templates, permissions, periodic clean-ups) to keep systems scalable
- Support recurring processes like OKRs by preparing templates, trackers, and timelines
- Provide hands-on support (checklists, Gantt charts, task setup, troubleshooting) to help teams work more effectively
- Partner with teams to simplify unclear or inefficient processes and implement practical improvements
- Act as a positive process ambassador — making systems helpful, not bureaucratic
- Prioritise and communicate improvements clearly, maintaining a focused backlog of changes
Requirements
What you’ll need- Experience in operations, process improvement, project coordination, or systems/tool administration in a fast-paced environment
- Hands-on experience with ClickUp (or similar tool): structures, workflows, templates, dashboards, automations
- Experience with no-code automation tools (Zapier preferred) and maintaining/testing automation logic will be treated as huge advantage
- Ability to audit workflows, identify root causes, and design simple, practical solutions
- Clear documentation and communication skills; comfortable supporting and training colleagues
- Strong prioritisation and organisational skills with attention to detail
- Practical, people-first mindset — focused on usability and adoption
