About the role
- This full-time, University Staff (non-classified) position is responsible for providing high-level program support to the Department of Orthopedics, including Section Chiefs, faculty and staff.
- This individual will be responsible for the coordination of their program(s) and their faculty across several UCHealth sites along the front range.
- This position will communicate, document and support all of the efforts for the faculty and in doing so will maintain relationships with various personnel throughout the School of Medicine and Affiliate Hospitals.
- This role requires the flexibility to travel between multiple site locations across the front range and work in a hybrid manor.
- This role must exercise critical judgement and considerable initiative in administrative management.
- Responsibilities for this position include multiple calendar management, generating documents, meeting coordination and preparation, presentations, spreadsheets, travel arrangements and reimbursements, medical legal activities, call schedule management, academic and clinical scheduling.
- This position provides cross coverage for other administrative positions as needed.
- Key Responsibilities: Provider Calendar Management: 40% Assists with academic and clinical scheduling for faculty support including Outlook and the Qgenda system to provide superior level of service to ease the administrative burden on faculty. Coordinates meeting space needs on and off campus; coordinates events for their program(s), including selecting, scheduling the venue and catering or food ordering, and manage guest list/invitation, while ensuring compliance with university policies and affiliate partner policies. Manages faculty calendars and meeting coordination by using email/MS Outlook, Microsoft Forms, Doodle, Teams, and Zoom. Guide and prepare physicians for meetings and presentations. Take meeting minutes and report back on meeting summary, outcomes and next steps. Special Projects: 10% Works with Operations Program Manager and Regional Manager to implement identified needs for the program such as faculty recruitment, scheduling, logistics and assist with various projects as needed. Manages projects and process improvement activities related to their program(s); reports on progress, and ensures deadlines are met. Medical Legal/Billing Support: 5% Manages provider licensing, certifications, professional memberships, hospital re-credentialing, CME tracking, Curriculum Vitae and any deadlines related to medical faculty. Manages scheduling and billing for medical legal request process. Professional consulting contract billing coordination and tracking. Administrative Support: 20% Recruitment and onboarding support for new faculty. Acts as department informational resource in relation to the operations of the section(s) they work within. i.e. medical legal requests, procurement, University of Colorado travel, calendar management and provider onboarding. Works within the team of operations program coordinators to ensure operational support of the department are met. Travel Reconciliation: 25% Process procurement requests, travel arrangements (including international), and reimbursements for providers using Concur travel & expense system as well as COR360. Work Location: Hybrid – this role is eligible for a hybrid schedule of 2 days per week on campus OR at a University-affiliated health clinic and as needed for in-person meetings. Substitution : A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis. Preferred Qualifications: Two (2) years of professional level administrative support experience in a higher education or healthcare setting Experience managing projects, adhering to project timelines, and reporting on progress. Experience coordinating travel and related purchasing and expense reimbursements in the Concur system. Experience providing administrative and technical assistance to faculty and staff within a higher education and/or medical education environment. Experience in managing multiple schedules accurately and efficiently. Experience in Amion.
