About the role

  • Calendar Management: Maintain the executive’s schedule, ensuring priority alignment and seamless scheduling across time zones.
  • Meeting & Communication Coordination: Schedule internal and external meetings, resolve conflicts, prepare reminders, and follow up on action items.
  • CRM & Sales Operations Support: Maintain CRM data integrity (Zoho preferred), tag leads, track deal stages, and manage follow-ups.
  • Sales Process Discipline: Remind and guide the founder to stay engaged in high-value sales conversations.
  • Presentation & Content Support: Create and refine client-facing decks, workshop materials, and written content from rough outlines or meeting notes.
  • Operational Logistics: Manage communications with vendors and ensure timely delivery of materials for speaking engagements or workshops.
  • Reporting: Provide weekly reports summarizing meetings, pipeline status, upcoming priorities, and task completion.

Requirements

  • 3–5 years of experience supporting a C-level executive or founder, ideally in a consulting, coaching, or professional services firm.
  • Proven ability to work independently while helping a founder stay accountable and focused.
  • Strong familiarity with CRM systems (Zoho or ActiveCampaign preferred) and pipeline management.
  • Experience supporting early-stage B2B sales or founder-led growth environments.
  • Excellent written and verbal communication skills.
  • Meticulous attention to detail and follow-through.
  • Ability to build repeatable workflows that reduce dependency on the founder.
  • Strong presentation creation skills (PowerPoint, Google Slides).
  • Confident leading from the side—anticipating what needs to happen next and keeping things moving without being asked.
  • Tech-savvy and quick to adopt new systems and tools.
  • Applicants that are 35 years old and above are preferred.
