About the role

Key responsibilities & impact
  • Provide oversight of and senior administrative support to the Corporate Secretary, Board of Directors and its Committees.
  • Ensure the effective planning, coordination and execution of quarterly Board and Committee activities, including preparation of materials, meeting logistics and official records.
  • Uphold rigorous standards of governance, compliance and corporate record-keeping.
  • Lead the Executive Office in support of the President & Scientific Director and the Executive Vice President, ensuring seamless coordination and execution of executive priorities.
  • Oversee Executive Office operations and reception, including workflow management, budgeting and administrative processes to support operational efficiency.
  • Drive the delivery of high-quality, responsive and discreet executive support to senior leadership.
  • Serve as a central point of integration across executive functions, enabling alignment of activities, communications and deliverables.
  • Ensure effective management of executive-level scheduling, travel and key events.
  • Provide leadership and direction to Executive Office administrative staff, fostering a high-performing, service-oriented team.
  • Lead performance management, coaching and professional development to support individual and team effectiveness.
  • Oversee the planning and execution of executive-level meetings, Board-related activities and key organizational forums.
  • Ensure effective coordination and engagement with internal and external stakeholders, including Board members and government partners.
  • Champion administrative excellence across the organization, including leadership and oversight of the Administrative Council.
  • Identify and implement opportunities to enhance efficiency, consistency and effectiveness of administrative operations.
  • Undertake other duties consistent with the scope, level and accountabilities of the role.

Requirements

What you’ll need
  • Post-secondary education or equivalent combination of education and relevant experience.
  • Significant experience providing senior-level executive support in a complex, fast-paced organization, ideally supporting C-suite or equivalent leadership.
  • Experience supporting Boards of Directors and/or governance structures, including coordinating meetings, handling and preparing confidential materials.
  • Solid knowledge of and experience with Board governance best practices and corporate secretariat functions.
  • Demonstrated experience managing or leading administrative teams, including performance management and coaching of direct reports.
  • Strong organizational and project management skills, with the ability to manage multiple priorities and deadlines with multiple stakeholders.
  • Advanced proficiency with Board management systems (e.g., DiliTrust) and collaboration tools (e.g., SharePoint).
  • Advanced expertise with Microsoft Office including Excel, PowerPoint, Word and hosting virtual meetings utilizing Zoom and Teams.
  • Experience coordinating large-scale meetings, events or advisory boards virtually and in person.
  • Excellent communication skills, with the ability to prepare, review and manage high-quality written materials.
  • High level of discretion, professionalism, and sound judgment when handling sensitive and confidential information.
  • Proven ability to build effective working relationships with senior leaders, administrative colleagues and diverse stakeholders.
  • Financial and operational acumen, including experience managing budgets; procurement, payment and administrative processes.
  • Experience in a research, healthcare, academic, or public sector environment in Ontario.
  • Experience supporting government-related or publicly funded organizations.
