About the role
Key responsibilities & impact- Provide leadership/direction to a team of Event Managers to ensure successful delivery of programs.
- Develop and mentor the assigned team of Event Managers.
- Ensure all programs are executed in accordance with client policies, industry regulations, and One10 operational standards.
- Mentor and teach direct reports on department process compliance and customer requirements.
- Provide performance feedback throughout year.
- Conduct regular one-on-one meetings with direct reports.
- Approval of time off requests/tracking compliance.
- Participate in new-hire interview and hiring process.
- Develop staffing plans to address sold project activity.
- Maintain comprehensive Operational Playbooks to drive team organization and optimal performance.
- Drive operational excellence and growth in collaboration with Sales Team partners.
- Participate in and contribute to monthly team department and management meetings.
- Attend program kick-off meetings.
- Monitor client contract compliance.
- Monitor invoices schedules.
- Review/approve budgets and program financials.
- Assist Event Managers with project tasks when needed.
- Monitor hours/direct costs on a per project basis.
- Take part in client program calls when needed.
- Ensure all programs comply with client-specific compliance policies, pharmaceutical industry regulations, and healthcare professional (HCP) meeting requirements.
- Partner with Compliance, Legal, and Client stakeholders to ensure adherence to Sunshine Act/Open Payments reporting requirements and other applicable regulations.
- Monitor program execution for compliance with attendee eligibility, meal limits, transfers of value, speaker engagements, and reporting requirements.
- Serve as a resource for Event Managers regarding industry regulations and client-specific compliance expectations.
- Escalate potential compliance concerns and work proactively with stakeholders to identify solutions.
Requirements
What you’ll need- Bachelor Degree or equivalent experience; travel/tourism emphasis preferred
- 5+ years of extensive meeting/incentive & event management experience
- Previous experience in successfully delegating and leading individuals/team
- Computer proficiency in Microsoft office suite
- High level of proficiency in Microsoft Excel
- Proven ability in Project Management & Financial Aptitude
- Travel for internal meetings or Client workload
- Experience supporting pharmaceutical, biotechnology, medical device, or healthcare-related clients preferred.
- Knowledge of Life Sciences meeting compliance requirements, including HCP engagement and Sunshine Act/Open Payments regulations.
- Experience managing Advisory Boards, Speaker Programs, Investigator Meetings, Congresses, Medical Education Programs, Product Launches, and Internal Sales Meetings preferred.
- Strong understanding of attendee data privacy requirements and confidential information handling.
- Ability to navigate complex client approval processes, compliance reviews, and financial controls.
- Exceptional organizational, communication, and client relationship management skills.
- Experience working with cross-functional stakeholders including Compliance, Legal, Procurement, Medical Affairs, Commercial Teams, and Finance.
