About the role

Key responsibilities & impact
  • Coordinate and provide patient support services, including answering phones, directing calls, greeting patients and visitors, maintaining medical records, assisting with scheduling, performing office functions, and handling patient payments.
  • Greet, register, and check in patients; update demographics and insurance coverage in the computer system.
  • Answer patient calls, take and relay messages or scripted care directions, respond to inquiries, and communicate with referring physician offices.
  • Perform check-out processes, including co-pay collections, return-visit scheduling, after-visit summaries, and follow-up test coordination.
  • Document patient-support activities accurately.
  • Monitor patient wait times and notify nurses, leads, or managers about excessive waits.
  • Open and route mail; distribute correspondence, reports, and office supplies; mail form letters.
  • Track and record patient information or program data.
  • Request and handle referrals and medical records from referring offices.
  • Schedule appointments when directed.
  • Maintain the cash drawer, reconcile daily cash, prepare bank deposits, and complete deposit paperwork where assigned.
  • Contact insurance companies to obtain registration or procedural pre-certifications as assigned.
  • Use job-related software and systems.
  • Travel to other clinical facilities may be required to accommodate staffing levels.
  • Perform other duties or special projects as assigned.

Requirements
