Supporting the Managing Director and a growing team of Directors and Associate Directors in the Governance Services Team within Ogier Global, you will provide a proactive, professional, seamless and confidential service, ensuring that their day to day runs efficiently and that client needs are prioritized and met in a timely manner.
Emphasis on being a team player, willingness to learn, and working alongside the governance services support team members to manage and complete a variety of tasks for the Governance Services Team as a whole.
Attend calls and meetings, take accurate notes and circulate summaries accordingly. Manage post meeting actions effectively and within deadline to ensure files and records remain current;
Diary management, arrange and coordinate meetings, conference calls and appointments across time zones, ensuring Governance Services team have everything required to deliver client services;
Travel planning and booking, arrange meeting presentation packs, expense report preparation and submission;
Assist with the on-boarding of new clients, prepare information for the take-on team, including risk assessment forms, for Director review and finalisation;
Draft and prepare documents and correspondence for execution, filing, scanning and courier;
Set-up new client entities in Viewpoint, accurately updating and maintaining data to ensure correctness;
Assist with the set-up of new directorships, provide director service agreements, billing arrangements and packages for new entities;
Proactively own tasks assigned by the Governance Services team and keep them updated on the status of matters worked upon;
Provide certified and notarised copies of all passports, proof of addresses & other documentation needed for directorship packages;
Be the first point of contact for clients and third party intermediaries including Law Firms, Investment Managers, Auditors and other fiduciary companies whilst maintaining professional relationships with them;
Ensure that all Directors proxies are up to date when the Directors are out of office;
Assist with invoice preparation and follow up of payments with clients by implementing early intervention process, liaising closely with Credit Control on accounts receivable;
Maintain the highest standards of confidentiality and data security in terms of client affairs and papers;
Devotion to data integrity with attention to detail in all activity, with a focus on utilizing the systems to their maximum potential to drive efficiency and client service;
Ensure that all original documents are forwarded to the appropriate individual or filed with the appropriate Registered Office;
Complete and submit file reviews in a timely manner;
Support our Ogier 'One Best Way' ethos across the team, identifying and driving process improvements and service innovation changes that would improve the client experience; and
In time, demonstrate and maintain the position as a source of knowledge within the team, guiding, assisting and training team members where necessary.
Requirements
Minimum 3-5 years' preferred experience in a Board Support, EA or Governance services capacity in a legal or corporate services environment, but not a requirement;
An Associates degree is preferred in a related field;
Experienced and confident in drafting professional correspondence, experienced in attending meetings, taking minutes and understanding and deciphering corporate and governance jargon;
Demonstrated ability to effectively liaise with 3rd parties including clients;
Experience in keeping current with matters worked upon and providing regular status updates, whilst becoming a main point of contact and source of information;
Experience in working to tight reporting deadlines and meeting demanding client obligations;
Ability to adapt to and successfully work with different working styles;
A self-starter and wish to expand knowledge and learn on the job;
Viewpoint proficiency is advantageous;
Proactive, professional, efficient and accurate with keen attention to detail;
Highly skilled and organized in relation to file management, proficient in the full Microsoft suite of programs, be able to type quickly and accurately;
Experience in troubleshooting and problem solving through to successful completion;
Ability to adhere to the highest level of confidentiality at all times;
Collaborative and focused on continuous improvement.
