About the role

  • Collaborate with governance leadership, strategy leadership, executive sponsors, facilitators, and other stakeholders to ensure that information and topics are directed to the right people at the right time and that recommendations and decisions are effectively communicated.
  • Continually evaluate the internal governance structure, including identifying gaps, conducting research, developing analyses, and making recommendations.
  • Ensure committee charters are accurate, up-to-date, and aligned with OCHIN’s strategy.
  • Oversee OCHIN’s internal self-assessment process and synthesize results, identify opportunities for improvement, and create action plans.
  • Oversee an orientation process for committee executive sponsors, facilitators, and coordinators.
  • Develop strategies and tools to encourage real-time engagement at governance meetings.
  • Ensure appropriate administrative support is provided to executive leadership and governance meetings, including but not limited to distributing meeting materials, recording meeting minutes, tracking and reporting decisions, and storing meeting-related materials in a central repository.
  • Optimize synergies between the executive leadership and governance to support both areas of the business.
  • Develop and maintain standard work processes and procedures to support efficiency.
  • Responsible for planning, organizing, and directing the work of the Governance and Administrative Services teams to achieve departmental and organizational goals and objectives. This includes team recruitment and onboarding, coaching and performance management, mentorship and professional development, staff satisfaction and engagement, and employee resource allocation.
  • Oversee corporate calendars and virtual office functions, including telephone and mail systems.

Requirements

  • Bachelor's degree in applicable major preferred
  • Minimum of 4- years (5-10 years preferred) of experience coordinating, facilitating, and supporting governance-related meetings
  • Minimum of 4- years of (5-10 years preferred) of experience in a higher-level administrative role supporting and managing C-suite executive(s)
  • Minimum of 4- years (5-10 years preferred) of experience in a leadership role with direct reports
  • Experience recruiting, mentoring, coaching, and onboarding/training others preferred
  • Skilled in organizing, prioritizing, and multitasking; thrives under pressure to meet deadlines
  • Excellent verbal and written communication skills, including the ability to create clear, concise content to reach a variety of audiences
  • Advanced administrative, organizational, and leadership skills
  • Advanced MS Suite skills: experience with Adobe Acrobat, Zoom and other online meeting programs
  • Project management experience preferred
