About the role
- Manage calendars, contacts, and travel logistics for Sr. Director of Field Development & DVN VPs; exercise independent judgment in prioritizing schedules, resolving conflicts, and determining which meetings require direct executive attention; anticipate needs and adjust schedules to maximize productivity.
- Represent executives in communications and meetings, making commitments and responding to inquiries; serve as liaison between executive sales leadership and other departments; prepare presentations, reports, and executive communications with strong verbal and written skills.
- Plan and support execution of Agency Owner Meetings, Summit Meetings, and Virtual Meetings; coordinate briefing materials and meeting logistics; coordinate sales meetings, training events, and leadership sessions; provide hands-on in-office support, welcoming and directing visitors, new hires, and deliveries.
- Prepare Word, Excel, and PowerPoint presentations, agendas, reports, and special projects supporting organizational objectives; prepare and review reports that identify trends, risks, and opportunities to support executive decision-making.
- Oversee expense reporting and administrative processes for Sales Division leadership team; manage department budget and prepare financial summaries and reports; reconcile sales incentive accruals against actual payouts; conduct monthly variance analysis and prepare quarterly budget forecasts; develop predictive models for sales incentive budget forecasting; maintain audit-ready documentation for all incentive calculations and payments.
- Manage monthly and quarterly reporting; track, forecast, and report on sales initiatives for Division Vice Presidents; become competent with Globe IQ to generate sales reports and dashboards; track key performance indicators (KPIs) with financial implications; monitor project timelines and flag potential issues or risks.
- Facilitate business case development for new sales initiatives; support acquisition due diligence by compiling financial data and analysis; prepare ad-hoc financial analysis to support strategic decision-making; responsible for acquisition planning activities, tracking, and documentation.
- Support communication between sales leadership and field teams; assist with sales campaign coordination and promotional material distribution; track and report on incentive program effectiveness and cost efficiency; coordinate with Finance and Payroll on incentive payment processing.
- Review and prioritize requests and information, determine appropriate actions, and ensure timely responses; revise and improve administrative and event-planning processes to enhance efficiency and collaboration; exercise discretion, confidentiality, and sound judgment in handling executive-level matters; demonstrate flexibility to adjust to shifting business needs, including occasional travel and work outside normal hours.
- Other duties and projects as assigned by leadership.
Requirements
- Bachelor’s degree in business administration, finance or related field or equivalent relevant work experience.
- 5+ years of executive administrative support experience, preferably supporting C-level or VP-level executives.
- 3-5 years working with Insurance sales.
- Demonstrated ability to act with discretion, make independent decisions, and influence leadership efficiency through strategic administrative support.
- Advance experience working with budget management.
- Project Management background a plus.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, SharePoint).
- Ability to be highly organized, adaptable, self-motivated, and dependable with a strong sense of ownership and accountability.
- Proficiency with CRM platforms (Salesforce, HubSpot), Microsoft Office Suite, and expense management systems.
- Strong organizational skills with ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Advanced experience with budget tracking and financial reporting.
- Proven ability to handle confidential information with discretion.
- Experience in insurance, financial services, or sales environment.
