About the role
- Provides administrative support to their reports to C-Level Executive by maintaining sensitive and complex calendars, including scheduling meetings, conference calls, lunches, etc.
- Attends important meetings as needed, taking notes, being an active participant and knowledgeable resource, while ensuring executive preparation and effectiveness.
- Coordinates travel arrangements (i.e. air, hotel accommodations and ground transportation), prepare itineraries, and ensure accuracy and timely delivery of plans/tickets.
- Communicate with customers, partners and vendors; gather pertinent information and route to the appropriate staff member.
- Creates or directs creation of reports, charts, budgets and other presentation materials for the executive.
- Be responsible for the tracking of business expenses and preparation of expense reports.
- Partners with other Executive Assistants in the Company.
- Special projects as assigned by reporting to C-Level Executive.
Requirements
- High school diploma or GED required.
- Associates Degree and/or equivalent, related experience.
- Must have 3+ years as an Executive Assistant supporting a VP level executive or higher.
- Experience working with budgets and overseeing the tracking process to ensure projects are in line with forecast.
- Experience preparing presentations, reports and correspondence.
- Excellent written and verbal communication skills with the ability to interact effectively and professionally with management, clients, staff and colleagues.
- Strong initiative, organizational abilities, attention to detail and accuracy; proactive.
- Ability to effectively multi-task and juggle shifting priorities.
- Excellent problem-solving and follow-through skills to meet tight deadlines and shifting priorities and deadlines.
- Must work with a sense of urgency.
- Must be comfortable working independently with minimal direction, as well as within a team, with strong and diverse personalities.
- Intermediate to advanced Google Suite, MS Word, Outlook, Excel and internet research skills.
