About the role
- Coordinate office/agency activities
- Manage agency-related events: create and co-own agency events organized by the support team
- Produce communication materials for employees
- Support colleagues who are organizing events
- Write the agency newsletter "NorsysLive", supported by a staff collective
- Help relay agency events to our Community Manager (photos, descriptions of locally organized events, new hires)
- Manage general office services: purchase supplies for the agency, ensure employees are involved in maintaining the premises, etc.
- Operate the telephone switchboard / answer incoming calls
- Manage maintenance contracts for equipment and coordinate on-site service providers (air conditioning, maintenance works, copier, etc.)
- Receive and process mail
- Assist the Agency management
- Receive and validate on-call and scheduled intervention documents (mission orders and intervention requests) and forward them to the head office administrative department
- Take part in the weekly Permabiz Committee (meeting attended by the Agency Director, Sales team, Operations team and HR Manager)
- Assist in organizing the end-of-year review panel interviews (December)
- Help with administrative management of IT equipment to prepare for new hires
- Manage personnel administration
- Monitor occupational health appointments
- Receive and forward new employee files
- Centralize sick leave records and ensure they are transmitted to payroll
- Create and track activity reports for employees and subcontractors
- Approve employees' leave and RTT in NorsysDaily after ROC/HR validation
- Manage the schedule of online support shifts in partnership with Emmaus Connect
- Assist with the organization of training sessions (printing training materials, attendance sheets, preparing the training room, welcoming participants, arranging breakfasts, etc.)
Requirements
- You are completing a Bac+2 or higher (equivalent to a two-year post-secondary diploma) or are seeking an internship for the year, and you intend to continue in a work-study (alternance) program for 2026/2027
- You want to commit to a distinctive company with values centered on respect for the environment and people
