About the role

Key responsibilities & impact
  • Own end-to-end Polish payroll processing and payroll calendar management, covering both employment contracts and civil law contracts, and providing expert support in complex settlement cases.
  • Supervise monthly payroll preparation, validation, approvals, and salary releases.
  • Support the team in working‑time and absence‑related topics impacting payroll accuracy.
  • Prepare clear payroll communications for employees, including monthly payment schedules and key legal or payroll changes.
  • Ensure compliance with SOX controls, local legislation, and internal policies.
  • Review payroll postings, accruals, and support Finance with clearing activities.
  • Manage year-end payroll activities, tax filings, and employee tax forms.
  • Analyze and implement legal or business changes impacting payroll processes.
  • Support internal and external payroll audits and resolve discrepancies.
  • Manage payroll vendor performance through SLAs and KPIs.
  • Lead service calls, provide feedback, and escalate issues when required.
  • Review and approve payroll vendor invoices in coordination with Vendor Management.
  • Maintain and improve payroll procedures in line with legislation and HR policies.
  • Support payroll-related projects (requirements, testing, documentation, training).
  • Act as the highest-level escalation point for payroll issues, ensuring service excellence.

Requirements

What you’ll need
  • Bachelor’s degree required; Master’s degree preferred.
  • 5+ years of end-to-end Polish payroll experience.
  • Strong knowledge of Polish payroll and tax legislation.
  • Solid understanding of working time and absence regulations impacting payroll (Time & Attendance)
  • Experience in mid-size to large multinational organizations.
  • Fluent in English and Polish.
  • Proactive team player with strong communication skills and a service-oriented mindset.
