About the role

Key responsibilities & impact
  • Manage and optimize the CEO & Senior team’s complex calendar, including executive meetings, board engagements, travel, and strategic priorities.
  • Coordinate domestic and international travel arrangements, itineraries, and expense reporting.
  • Prepare executive correspondence, presentations, reports, and briefing materials.
  • Serve as a gatekeeper by prioritizing requests, resolving scheduling conflicts, and ensuring effective time management.
  • Maintain strict confidentiality regarding corporate, financial, personnel, and strategic matters.
  • Support execution and tracking of strategic initiatives and organizational priorities.
  • Coordinate leadership meetings, executive off-sites, board meetings, and investor-related activities.
  • Prepare agendas, meeting materials, minutes, and follow-up action items.
  • Monitor deadlines, deliverables, and executive commitments across departments.
  • Partner with senior executives to ensure alignment on priorities and communications.
  • Serve as a liaison between the President, executive leadership, board members, clients, and external stakeholders.
  • Facilitate professional communication across all levels of the organization.
  • Draft and edit high-level communications on behalf of the President.
  • Build strong relationships with internal and external business partners.
  • Oversee administrative processes to improve executive office efficiency.
  • Coordinate special projects and corporate events as assigned.
  • Manage records, contracts, and confidential documentation.
  • Support budget tracking, invoice approvals, and vendor coordination for the executive office.

Requirements

What you’ll need
  • Bachelor’s degree required, with a minimum of five years of experience providing executive-level support in a fast-paced environment.
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Demonstrated technical aptitude and the ability to navigate multiple systems in support of the President and Senior Team.
  • Exceptional communication and interpersonal skills, supported by a high degree of emotional intelligence.
  • Demonstrated initiative and the ability to work effectively both independently and collaboratively.
  • Strong sense of urgency, exceptional attention to detail, and a commitment to achieving high-quality results.
  • Proven ability to manage multiple priorities and exercise sound judgment in assessing risk, importance, urgency, and organizational impact.
