About the role
Key responsibilities & impact- Supports the operating departments of New York City Tourism + Conventions by providing mailroom, delivery and administrative services in the most efficient, cost-effective means possible.
- Prepares and packages internal deliveries, mail handling and inventory in the most efficient, cost-effective manner possible.
- Responsible for the maintenance of the mailroom and office equipment and initiates improvements when possible.
- Mail and supply orders/deliveries.
- Technical expert of all mailroom processing (postage machine, FedEx / UPS terminal, sorter, folder, scorer, cutter etc.) and printing (HP and Cannon printers and copiers and plate maker).
- Coordinates mailroom projects: monthly mailing, business card exchange, any last-minute project, processing bulk shipping and mailings, generation of labels/envelopes, folding, stuffing and mailing in a timely manner.
- Train and troubleshoot equipment to meet business needs to provide staff with pickup and delivery of boxes/packages as needed.
- Oversee the operation of the office soda machine.
- Ensure a clean, orderly, safe and secure environment within the mailroom.
- Oversee the organization and orderly maintenance of all storage and staging areas.
- Perform preventive maintenance on equipment and make simple repairs.
- Perform minor office maintenance and moving of office furniture, as required.
- Operate and ensure proper maintenance of the Company vehicle, required to make deliveries and pick-up items at banks or other locations throughout the city.
Requirements
What you’ll need- Minimum of 2-3 years of experience in a mailroom, facilities, office services, or administrative support role.
- Experience operating mailroom and shipping equipment, including postage machines, copiers, printers, and shipping software (FedEx, UPS, USPS).
- Experience with Microsoft Office applications, including Excel, Word, and Outlook.
- Excellent organizational, communication, and interpersonal skills with the ability to manage multiple priorities effectively.
- Ability to work independently, exercise sound judgment, and take initiative to improve processes and efficiencies.
- Ability to collaborate cross-functionally and provide responsive service to staff and stakeholders.
- Valid driver's license with a clean driving record and the ability to operate a company vehicle.
- Ability to safely operate mailroom equipment and lift up to 20-30 pounds.
- Familiarity with New York City's tourism and hospitality landscape is a plus.
