About the role

  • - Manage schedules and coordinate meetings across multiple time zones to ensure no detail is overlooked. - Streamline internal operations by organizing and maintaining digital files, reports, and communication threads. - Provide polished, professional correspondence and documentation that reflects Nebulons commitment to excellence. - Monitor project timelines and ensure deliverables stay on track using advanced tools like Asana or Monday.com. - Prepare meeting agendas, take detailed minutes, and follow up on action items to keep all stakeholders aligned. - Support project managers with task tracking, resource allocation, and milestone updates. - Act as a primary point of contact for emails, inquiries, and internal announcements. - Facilitate smooth communication between clients, vendors, and internal teams by ensuring clarity and timeliness in all exchanges. - Conduct targeted research to support proposals, reports, and project planning. - Provide actionable insights from industry trends, helping Nebulon maintain its competitive edge. - Identify inefficiencies in administrative workflows and propose creative, tech-savvy solutions. - Develop templates, tools, and best practices to improve team productivity.

Requirements

  • - Proven experience as a Virtual Assistant, Executive Assistant, or similar role, ideally in a fast-paced, dynamic environment. - Familiarity with the engineering, construction, or technology industries is a plus but not required. - Exceptional organizational and multitasking skills with a results-oriented mindset. - Expertise in tools such as Microsoft 365, Google Workspace, and collaboration platforms like Slack and Zoom. - Advanced knowledge of project management systems (e.g., Asana, Trello, or similar). - Ability to quickly learn and adapt to new software and tools. - Impeccable written and verbal communication skills. - A proactive, solutions-driven approach to challenges. - Strong attention to detail, ensuring nothing falls through the cracks. - Ability to work independently and thrive in a remote, fast-paced environment.
