About the role
Key responsibilities & impact- Provide full-range administrative and operational support to the Wealth Management Group
- Prepare and process correspondence, bills, tax payments, account maintenance, fee processing, account openings and closings
- Maintain administrative logs and perform daily balancing
- Ensure estimated and balance-due tax payments are made accurately and on time
- Upload tax information to applicable tax authorities and web-based platforms
- Process fees, free receipts, and deliveries
- Post transactions to the Trust Accounting System
- Create and distribute reports and letters
- Update spreadsheets, review transfer paperwork, and adjust cost basis
- Perform daily balance with the trust accounting vendor
- Process cash disbursements from Trust Accounts to escrow accounts
- Review charitable trust tax deposits on EFTPS and perform other tax-related duties
- Provide customer service to internal and external customers
- Inventory the vault quarterly and ensure items are documented for audit
- Perform other assigned duties
Requirements
What you’ll need- Associate's Degree in Business Administration or equivalent education and experience
- Minimum of 4 years of experience in trust, banking, paralegal, accounting, brokerage, or insurance environments
- Experience in securities and/or trust administration preferred
- Proficient PC skills in a Windows environment, including Word and Excel
- Strong written and verbal communication skills
- Understanding of securities movement and control in the trust and brokerage industry
- Excellent organizational and customer service skills
- Ability to work flexible schedules and rotate to various departmental positions as needed
- Working knowledge of database and accounting software, including setting up, analyzing, and interpreting report data
- Understanding of Trust Accounting Systems
- Strategic thinking and ability to support NBT Financial Group growth
- Effective communication with internal and external customers
- Ability to move objects weighing up to 10 lbs
- Must be authorized to work for any employer in the United States; visa sponsorship is unavailable
