About the role
Key responsibilities & impact- support the day-to-day operations of the Development team
- have primary responsibility for gift processing, data integrity, and donor communications
- support financial coordination, grant administration, and other Development team systems and processes
- accurately and promptly enter gifts, pledges, and related donor information in Salesforce
- prepare and send timely and accurate gift acknowledgment letters and other required donor correspondence
- maintain complete donor, gift, campaign, designation, and engagement records
- track pledges, payments, gift restrictions, and supporting documentation
- coordinate with Finance to support gift reconciliation and resolve discrepancies as needed
- maintain organized gift documentation in Salesforce and the shared drive
- prepare routine reports, lists, data exports, and other materials to support fundraising and financial tracking
- assist with Development team project tracking, file organization, documentation, and meeting follow-up
- support donor and event mailings, including list preparation and related data updates
- help document and improve Development team processes and procedures
- support NPWF’s annual event preparation and execution, including sponsor and guest tracking, registration, materials, vendor coordination, and day-of logistics
- support grant administration by maintaining grant deadlines, records, files, and supporting documentation in Salesforce, Asana, Dashlane, and the shared drive
- assist with collecting and organizing programmatic, financial, and organizational materials for proposals and reports
- assist the Managing Director of Development with grant intake, award setup, payment tracking, reporting coordination, and closeout
- track invoice status and maintain related documentation in Development systems and files.
Requirements
What you’ll need- Two to four years of experience in nonprofit development operations, gift processing, or a related field
- Demonstrated hands-on experience entering and processing charitable gifts in a fundraising CRM or donor database
- Experience preparing gift acknowledgments, maintaining donor records, and supporting gift reconciliation
- Familiarity with Salesforce or another fundraising CRM is strongly preferred
- Experience with grant administration, data management, or nonprofit financial processes is preferred
- Exceptional attention to detail and commitment to data accuracy
- Strong organizational and time-management skills, with the ability to manage recurring processes and competing deadlines
- Comfort working with donor data, spreadsheets, gift documentation, and financial information
- Demonstrated ability to remain calm, organized, and adaptable while managing competing priorities, shifting timelines, and urgent requests
- Strong written and verbal communication skills
- Proficiency with Microsoft Office or Google Workspace, particularly Excel or Google Sheets
- Ability to handle confidential donor and financial information with discretion
- Collaborative, proactive, and service-oriented approach
