About the role
Key responsibilities & impact- Provide high-level administrative support to the CAO, including managing an extremely active calendar of appointments, scheduling meetings, and coordinating travel arrangements.
- Assist Executive Assistant to the CEO/President in organizing 4 Board Meetings per year.
- Assist in coordinating meeting logistics (room setup, catering, technology, manage RSVPs, etc.) in advance of two in-person Board meetings.
- Operate as staff lead for the Ambassador Council meeting to provide coordination and communication with Council, NFF President & CEO, and Chief Advancement Officer in cultivating and managing Council prospects.
- Create and maintain efficient records of Ambassador Council member and candidate background information, outreach, and interactions.
- Prepare and edit correspondence, communications, presentations, and other documents, sometimes confidential and facilitate signing personalized messages from the Executives at NFF.
- Arrange complex and detailed travel plans, itineraries, and agendas.
- Prepare and compile documents for travel-related meetings, working with appropriate project managers when necessary.
- Assist in outreach to current and potential donors on behalf of the CAO.
- Accurately complete expense reports.
- Provide logistical assistance with advancement related events.
- Work with the CAO and NFF staff to ensure adequate resource materials are generated to advance strategic priorities and enhance the execution of the President/CEO/Boards vision and Management Team's strategic efficacy.
- Maintain communication contact records for the CAO within the appropriate databases.
- Organize agenda/materials for bi-weekly Advancement Direct Report meeting.
- Provide scheduling support.
- Prepare key briefings for meetings.
Requirements
What you’ll need- Bachelor's degree in related field or equivalent experience.
- Seven or more years of administrative experience at the executive level.
- Experience working with corporate or non-profit boards/volunteers/board management.
- Proven experience in Microsoft Office365, Outlook, Word, Excel, and PowerPoint.
- Commitment to the mission of the NFF.
- Must be authorized to work in the United States.
- Ability to travel within the United States 25 to 30% within a year.
