About the role

Key responsibilities & impact
  • Support the daily operations of the practice by assisting with client communication, scheduling, referrals, and general administrative tasks
  • Serve as a central point of coordination between clients, therapists, and administrative processes
  • Maintain accurate logs and trackers (Call Log, Referral Tracker, etc.)
  • Ensure administrative workflows are followed consistently and thoroughly
  • Communicate payment-related information clearly and professionally when needed
  • Assist with basic billing tasks including charging services and supporting client balances
  • Support daily office operations and ensure a smooth and organized environment
  • Assist with administrative tasks, documentation, and coordination as assigned
  • Assist with social media coordination and content collaboration as directed

Requirements

What you’ll need
  • Experience with medical or mental health billing
  • Experience submitting insurance claims and working with payers
  • Familiarity with ICD-10 (and CPT codes preferred)
  • Experience verifying insurance benefits
  • Strong attention to detail and accuracy
  • Strong communication and customer service skills
  • Highly organized and detail-oriented
  • Ability to manage multiple tasks and prioritize effectively
  • Comfortable working within structured systems and processes
  • Proactive, reliable, and solution-oriented
  • Previous administrative experience preferred
  • Experience in a healthcare or mental health setting is a plus
