About the role
Key responsibilities & impact- The Site Manager has oversight and responsibility for a particular region and/or field offices for an assigned contract
- Responsible for oversight of all aspects of administrative, technical, operational, contractual, and financial components of the program
- Responsible for the company’s quality control plan and implementing established workflows, policies, procedures and protocols, and fiscal accountability for work performed on their office
- Enforce program changes as specified by the Program Manager and Deputy Program Manager and disseminate guidance to personnel
- Ensure ongoing program-wide compliance with contract and company policies, procedures, and guidance, with applicable laws and regulations
- Implements, monitors, and ensures the effectiveness of the company’s quality control plan and training programs
- Escalates concerns and suggests improvement to the Program Manager
- Maintain a consistent level of communication with all employees, other departments, executive management, interacting with high level authorities between agencies
- Ensures uniform processes and procedures are implemented and executed across all program offices
- Conduct weekly meetings with supervisors to ensure adherence with company and project processes, address any field concerns and elevate issues to Deputy Program Manager for resolution
- Assist with schedule management on a weekly basis and ensures staffing is consistent, while maintaining enough flexibility to meet project demands and customer needs
- Responsible for monitoring staff utilization and controlling overtime
- Conduct random in-person spot checks during field site visit events to ensure contract compliance
- Prepare and conduct Site Supervisor evaluations; coaching and corrective action; recommend salary increases for Site Supervisors
- Manage and review all schedules on a weekly basis and ensure staffing is consistent and fair in the company’s scheduling database while maintaining enough flexibility to meet project demands
- Ensure changes made to the schedule are communicated in a timely manner
- Track and monitor weekly and monthly labor hours; approves time sheets and expense reports for staff
- Manage and approve all leave requests on a weekly basis
- Conduct interviews with candidates for various site positions
- Attend and provide an overview of the site operations during each new hire training class
- Identify future staffing needs with input from Site Supervisors and Operations Manager
- Identify inappropriate employee behavior and or performance issues in collaboration with Site Supervisors and People Services and address through corrective and or disciplinary action
- Work with People Services to document progressive discipline actions
- Provide recommendations for updates to SOPs to Project Manager and Deputy Program Manager
- Ensure that the program is in compliance with quality control standards, training and contractual requirements, but also meets other or exceeds other standards, as necessary
- Ensure compliance with the company’s policies and procedures and ensures changes are communicated to the team, as necessary
- Assist Program Manager with the development and refinement of policy interpretation, guidelines, and procedures that will improve or enhance service delivery of the program
- Manage the financial aspects of all projects and ensures the proper utilization of all staff including limiting overtime hours for all staff
- Monitor Power BI to ensure timely, accurate and consistent data collection
- Monitor the effectiveness of IT systems and brings any changes and improvements to the IT Steering Committee for implementation
Requirements
What you’ll need- Possess a bachelor’s degree from an accredited university (or an associate degree with two or more years of extra relevant experience may be substituted for a bachelor’s degree, or more than four years of related experience may be substituted for a degree)
- Have at least two years or more of documented experience in a field related to law, social work, detention, corrections, or similar occupational area
- Demonstrate management and supervisory experience applicable to the goals and objectives of this requirement and appropriate for a similar program environment
- 2 years’ experience managing employees in a similar program environment
- Able to foster strong business relationships with internal and external customers and employees at all levels and across multiple stakeholders
- Ability to leverage technology to manage contract requirements and improve complex processes and procedures while also managing expectations of stakeholders and employees
- Collaborate across all operational support areas to ensure company best practices are continuously incorporated and consistently executed across the program
- Strong oral, written, and interpersonal communication skills
- Must have investigative, analytical skills and report writing experience
- Valid driver's License, clean driving record
- Must be accessible by mobile phone 24/7/365
- Availability to travel regularly within the United States
