About the role
Key responsibilities & impact- Perform administrative tasks: answer inquiries about the programs/projects; file documents; produce documents and spreadsheets; prepare and/or assist with presentations, marketing, reports and surveys; order office/program supplies and maintain inventory; code invoices; enter/record financial data and other data
- Respond to client and community partners' inquiries in a timely manner
- Support clients: register them; maintain client records; provide information/referrals and orientation; additional support as assigned
- Promote program to interested clients, answer client questions regarding the program participation, and register clients using appropriate database and procedures
- Assist with client intake and coordinating workshop logistics details
- Provide administrative support for reports, client intake information, workshop attendance, and forms
- Maintain confidentiality in all matters related to client/student information
- Provide general orientation to the facilities for clients/community partners/stakeholders both in person and over the phone
- Perform administrative duties related to the program or project, as assigned
Requirements
What you’ll need- Office Management/Business Administration diploma/certificates and/or appropriate combination of experience and training
- 1-2 years' relevant administration experience
- A current and satisfactory Criminal record check is required
- Excellent administration skills with some experience in data management
- Proficient computer skills in word processing, spreadsheets, database, and standard office equipment
- Good verbal and written communication skills
- The ability to speak other languages will be considered an asset
- Knowledge about mental health needs
- Great coordination skills, effective organizational abilities: able to set priorities and meet deadlines; able to multi-task
- Able to work independently and with a team
- Must possess sound judgement and initiative
- Cultural sensitivity and understanding of the needs of diverse clients with mental health issues
