About the role

Key responsibilities & impact
  • Coordinate projects and tasks across teams, tracking progress, deadlines, and deliverables.
  • Keep day-to-day operations running smoothly: scheduling, documentation, reporting, and follow-ups.
  • Act as a point of contact between internal teams, external partners, and stakeholders.
  • Support commercial, financial, and administrative processes such as quotations, purchase orders, invoices, and record-keeping.
  • Help manage vendor and partner relationships, including renewals and commercial discussions.
  • Monitor compliance with agreements, internal policies, and governance requirements.
  • Prepare clear reports, summaries, and materials for stakeholders and leadership.
  • Identify opportunities to simplify and improve processes, and help put improvements in place.
  • Take on new responsibilities as priorities shift — no two weeks look exactly the same.

Requirements

What you’ll need
  • 2–5 years of professional experience in project coordination, operations, business administration, or a related area.
  • Strong organisational skills and the ability to manage multiple priorities in a fast-paced environment.
  • A proactive, problem-solving mindset and a willingness to take ownership.
  • Clear communication and the ability to work with people across different teams and cultures.
  • Comfort with everyday office and productivity tools, and a willingness to learn new systems.
  • Business-level proficiency in both Japanese and English.
