Software Vendor Management Operations Specialist

About the role
Key responsibilities & impact- **On a given day, a Software Vendor Management Operations Specialist will: **
- - Manage the lifecycle of software licenses and subscriptions, including inventory tracking, renewals, usage monitoring, and optimization initiatives.
- - Support commercial discussions and renewal processes with key software vendors to achieve cost-efficiency and business objectives.
- - Coordinate the vendor relationships and act as a laison between internal stakeholders, Global Procurement (GP) and Legal, and external partners.
- - Oversee the operational processes supporting the resale and external deployment of software platforms & tools.
- - Ensure accurate processing, documentation, and compliance of software-related financial transactions, including quotations, purchase orders, invoices, and accounts payable activities.
- - Manage and support chargeback, cost allocation, and centralized billing processes for internal platforms and services.
- - Monitor compliance with software licensing agreements, contractual obligations, and internal governance requirements.
- - Partner with Product Management and Engineering teams to assess platform enhancements and ensure alignment with licensing and contractual terms.
- - Coordinate with corporate and affiliate organizations on billing structures, service agreements, and operational changes impacting software and platform management.
- - Drive the implementation and continuous improvement of centralized processes, governance frameworks, and operational standards for software, licensing, and platform operations.
Requirements
What you’ll need- **In order to be successful in this role you will need: **
- - 2–5 years of experience in Software Asset Management (SAM), Software Vendor Management, IT Commercial Operations, or a related function within a technology-driven environment.
- - Strong understanding of enterprise software licensing, software asset lifecycle management, and commercial operating models.
- - Experience supporting software contract negotiations, renewals, vendor management activities, and licensing compliance initiatives.
- - Solid financial acumen, with experience managing software-related budgets, chargeback models, cost allocation processes, or financial operations.
- - Proven ability to collaborate effectively with cross-functional stakeholders, including Business, Engineering, Procurement, Legal, Finance, and corporate leadership teams.
- - Strong organizational skills with the ability to manage multiple priorities and operate in a fast-paced environment.
- - Excellent communication and stakeholder management skills, with the ability to influence and coordinate across diverse teams.
- - Business-level proficiency in both Japanese and English.
