About the role
- Provide confidential, high-level administrative and secretarial support
- Manage complex diaries, selected email correspondence, and meeting preparation
- Coordinate meetings, events, committees and travel, including acting as secretariat for high-level committees
- Prepare executive-level reports, papers, presentations and documentation
- Manage office processes, electronic filing systems, and consumables
- Support workforce administration including UKG management, mandatory training and KPI monitoring
- Liaise on behalf of the CNMIO and CMIO with internal stakeholders, consumer representatives, executive leaders and external partners
- Provide support to Clinical Informatics leaders for recruitment, onboarding, events and general administrative needs
Requirements
- Previous experience as an Executive Assistant, Program Administrator or Administration Manager
- Strong organisational and prioritisation skills
- Excellent writing skills and attention to detail
- Ability to handle sensitive and confidential matters professionally
- Experience coordinating events, meetings, and reports
- Well-developed interpersonal skills and confidence interacting with stakeholders at all levels
- Intermediate–advanced Microsoft 365 skills (Outlook, Word, Excel, PowerPoint, SharePoint, OneNote)
- Flexibility to support meetings and activities aligned to operational needs
- Good working knowledge of hospital administrative processes and hospital systems (KRONOS, iProc, BEIMS, Riskman, Mercury E-recruit, LanPage, iPM) is desirable
