About the role

Key responsibilities & impact
  • - Manage and prioritize the CEO's calendar, meetings, and appointments
  • - Prepare meeting materials, take notes, and track follow-up items
  • - Serve as a liaison between the CEO, executive team, internal staff, and external partners
  • - Handle sensitive information with discretion
  • - Support client intake by organizing notes and files in ClickUp and Google Drive
  • - Maintain organized digital filing systems

Requirements

What you’ll need
  • - Bachelor's degree or equivalent experience
  • - 3+ years of experience in executive-level administrative support; marketing or agency experience a plus
  • - Excellent organizational and time-management skills, with strong attention to detail
  • - Confident written and verbal communicator with a customer-service mindset
  • - Strong technology aptitude, including comfort with AI tools, Google Workspace, ClickUp (or similar project management software), and Slack, with a genuine interest in using these tools to improve accuracy, efficiency, and organizational performance
  • - Able to manage multiple priorities in a fast-paced environment while staying calm and steady
  • - Discretion and professionalism when handling confidential information
  • - Flexibility for occasional early morning, evening, or weekend availability, periodic driving to accompany the CEO to meetings, and in-office schedule needs that may vary based on agency demand
