About the role
Key responsibilities & impact- - Manage and prioritize the CEO's calendar, meetings, and appointments
- - Prepare meeting materials, take notes, and track follow-up items
- - Serve as a liaison between the CEO, executive team, internal staff, and external partners
- - Handle sensitive information with discretion
- - Support client intake by organizing notes and files in ClickUp and Google Drive
- - Maintain organized digital filing systems
- - Assist with client reporting, presentations, and general administrative support across departments

Requirements
What you’ll need- - Bachelor's degree or equivalent experience
- - 3+ years of experience in executive-level administrative support; marketing or agency experience a plus
- - Excellent organizational and time-management skills, with strong attention to detail
- - Confident written and verbal communicator with a customer-service mindset
- - Strong technology aptitude, including comfort with AI tools, Google Workspace, ClickUp (or similar project management software), and Slack, with a genuine interest in using these tools to improve accuracy, efficiency, and organizational performance
- - Able to manage multiple priorities in a fast-paced environment while staying calm and steady
- - Discretion and professionalism when handling confidential information
- - Flexibility for occasional early morning, evening, or weekend availability, periodic driving to accompany the CEO to meetings, and in-office schedule needs that may vary based on agency demand
