About the role

  • Provide administrative support for all event-related activities
  • Coordinate travel and accommodation for events, working with relevant agents from requisition through to approval and ticketing
  • Maintain and manage data and spreadsheets for accurate reporting, budgeting and analysis
  • Support the management of communications and event portals, including content updates, sending generic emails, performing daily checks, clearing backlogs, and prioritising team action items
  • Assist with end-to-end planning of events (conferences, meetings, incentives, awards nights, galas)
  • Develop event timelines, run sheets and checklists – working with our preferred suppliers to coordinate logistics including venues, catering, AV, talent, logistics, transport and accommodation, support event communications and prepare event materials (invitations, confirmations, updates) and manage registrations, RSVPs and attendee queries
  • Assist with on-site event delivery as needed, including occasional domestic travel
  • Provide support through various ad hoc administrative tasks as needed by the team

Requirements

  • Proven experience in an administrative / coordinator role in an events team
  • Experience in retail or events environments, with FMCG knowledge highly regarded
  • Ability to manage multiple projects and prioritise effectively to meet deadlines – experience using Asana or similar project management tools is highly regarded.
  • Strong experience using EventsAir as a registration platform (registrations, attendee management and reporting) is essential. EventsAir training or certification will be viewed favourably
  • Demonstrated success working in fast-paced environments with competing priorities, and a strong ability to pivot, prioritise and manage multiple events concurrently.
  • Advanced proficiency in Microsoft Office and event registration tools
  • Strong verbal and written communication skills
  • Exceptional attention to detail and accuracy, with a proactive approach to anticipating team needs
