About the role

  • Operational and organizational leadership responsibility for reception and cleaning teams
  • Primary point of contact for all facility management matters in the office building
  • Organization, coordination and commissioning of maintenance and repair work in collaboration with internal and external service providers
  • Planning, implementation and ongoing management of employee benefits, as well as initiating and organizing events to promote company culture and employee motivation
  • Coordination and, where necessary, evaluation of existing suppliers for facilities, benefits and wellbeing
  • Close collaboration with HR and other internal stakeholders, particularly regarding workspace design and employee satisfaction
  • Review of incoming invoices related to facilities, benefits and events
  • Travel management: planning, booking and expense settlement for business trips
  • Seminar organization: planning and arranging internal and external trainings, seminars and workshops
  • Scheduling: organizing and coordinating appointments, meetings and briefings
  • Professional internal and external communication on behalf of the CFO
  • Maintenance and management of digital and physical filing systems
  • Administration and upkeep of the time tracking system

Requirements

  • Completed commercial/administrative training or equivalent qualification
  • Excellent MS Office skills
  • Excellent written and spoken German and English
  • Structured working style with a high degree of independence and a strong sense of responsibility
  • Solution-oriented, proactive approach to work
  • Strong organizational skills
  • Excellent communication and collaboration skills
