About the role

Key responsibilities & impact
  • Lead planning and execution of internal and external meetings, educational programs, symposiums, and conferences
  • Partner with Medical Education, Physician Relations, Marketing, R&D, and external vendors on event strategy, content delivery, and attendee engagement
  • Manage event budgets, track expenditures, reconcile billing, coordinate vendor payments, and identify cost-saving opportunities
  • Source, negotiate, and manage hotels, venues, transportation providers, and event service vendors
  • Coordinate audiovisual, production, and event technology solutions, including registration platforms, mobile applications, audience response systems, and attendee engagement tools
  • Design and manage event registration, attendee communications, travel logistics, accommodation requests, and participant experience
  • Oversee on-site event operations and serve as a key contact for stakeholders, vendors, and attendees
  • Generate and analyze event metrics and reporting to evaluate outcomes, communicate results, and recommend process improvements

Requirements

What you’ll need
  • High School Diploma or equivalent and 6+ years of relevant meeting or event planning experience; OR Associate's Degree and 4+ years of relevant experience; OR Bachelor's Degree and 2+ years of relevant experience
  • Experience managing end-to-end event logistics, including registration, attendee communications, travel coordination, vendor management, and on-site execution
  • Experience developing and managing event budgets, expense tracking, billing reconciliation, and vendor payment processes
  • Experience using event management platforms such as Cvent or similar meeting management systems
  • Experience working with multiple stakeholders and vendors to deliver projects while meeting established timelines and compliance requirements
  • Preferred: Experience supporting medical education programs, healthcare events, or physician engagement activities
  • Preferred: Experience managing hotel sourcing, contract negotiations, and venue selection
  • Preferred: Experience coordinating audiovisual production, event technology platforms, and attendee engagement tools
  • Preferred: Knowledge of compliance requirements related to healthcare, medical device, pharmaceutical, or life sciences meetings and events
  • Preferred: Experience analyzing event performance metrics and using data to drive process improvements and program recommendations
  • For Baccalaureate degrees earned outside of the United States, a degree satisfying 8 C.F.R. § 214.2(h)(4)(iii)(A) is required
  • Must possess unrestricted U.S. work authorization at the time of hire and for the duration of employment
