About the role
- Support senior leaders and team and serve as a flexible resource across Medical Affairs projects as priorities shift
- Support compliant document management and record-keeping in accordance with company policies and applicable regulations
- Manage and maintain schedules, including calendar management, meeting scheduling, travel arrangements and expenses for the Head of Medical Affairs.
- Assisting medical affairs managers with daily administrative needs.
- Assist with the preparation of presentations, and other materials as needed.
- Coordinate CDAs, Consulting Agreements and other documents via DocuSign
- Serve as a key administrative user for Medical Affairs systems (e.g., Veeva, SharePoint), supporting data accuracy and organization
- Assist with setting up training and onboarding for new team members
- Maintain and organize the Medical Affairs SharePoint site.
Requirements
- 5 years of experience in an administrative support role, preferably in a biopharmaceutical or life science focused industry
- Comfortable working in a fast-paced, evolving environment with limited structure
- Strong judgment and discretion when handling sensitive and confidential information
- Ability to build trust and effective working relationships across all levels of the organization
- Strong organizational skills
- Ability to multitask with ease and prioritize work
- Excellent written and verbal communication skills
- Attention to detail and accuracy
- Strong computer skills, especially Microsoft Office applications, SharePoint, Veeva
