About the role

  • Placement and legal assistant teams
  • Identify needs related to the efficient production and handling of legal assistants’ work
  • Ensure firm members are qualified and meet the needs of the practice area while adhering to the number of operational resources authorized by the firm
  • Work closely with the Director, Legal Support Services, practice group leaders and professional resources regarding the proposal, assignment and retention of resources related to legal assistants, including recommending teams, providing feedback and recommending workspace arrangements for legal assistants and lawyers based on practice requirements
  • Support the development of legal assistants to achieve the goal of creating strong work units built on collaboration
  • Manage absences and schedule vacations to ensure adequate coverage, and record related information
  • Oversee the management and approval of overtime requests
  • Coach employees so they are accountable for their work, aligned with the firm’s objectives, culture and values, and contribute to a stimulating work environment
  • Manage staff in a hybrid work model
  • Train legal assistants and lawyers on success factors and on the firm’s McCarthy ‘McCarthy Cares’ program (McCarthy s’engage) under which legal assistants are evaluated
  • Assist lawyers with performance-related discussions
  • Consult with the Director, Legal Support Services, and the Director, Human Resources, before taking formal disciplinary action
  • Lead activities that promote team cohesion; support and engage employees so they participate in projects, meetings, etc.
  • Identify process improvements, including workflow enhancements and optimization of AI usage, and mentor members of the Continuous Improvement Committee to meet team objectives
  • Collaborate with the Director, Legal Support Services, on the annual preparation of financial and headcount budgets

Requirements

  • College diploma in administration, human resources or another relevant field, or equivalent work experience
  • Minimum of 10 years’ experience, including at least three years managing large teams, ideally in a professional services environment
  • Strong problem-solving, conflict management and negotiation skills, including the ability to address performance and disciplinary issues
  • Ability to identify and implement creative solutions
  • Excellent analytical reasoning and critical thinking skills
  • Demonstrated numeracy skills
  • Strong written and verbal communication skills (French and English required for the Quebec region)
  • Proven ability to communicate effectively with people at all levels of the organization while maintaining composure
  • Intermediate knowledge of the Microsoft Office suite
  • Proven accomplishments in change management and a strong interest in continuous process improvement
  • Recognized ability to organize and prioritize work in a fast-paced, national environment
  • Ability to build strong, trust-based relationships to secure support and achieve results
