About the role

  • Anticipating needs of Partner to efficiently maximize time by managing a priority list/schedule and workload to ensure information is adequately prepared for meetings, including briefing on daily/weekly schedule and creating, managing and co-ordinating receipt of required documentation and materials in advance of meetings.
  • Establishing a systematic method to track time commitments and task completion.
  • Independently managing Partner’s calendar by scheduling appointments, anticipating needs, changes and rearranging meetings as appropriate.
  • Coordinating logistics of internal and external conferences, business development activities, meetings and events (e.g., communication, location, meals, technical equipment, materials, RSVPs, and travel), with minimal to no guidance.
  • Booking and coordinating Partner travel, preparing itineraries and travel expense reports in compliance with Firm and client travel policies.
  • Managing firm and client confidential information and assisting with frequent personal requests.
  • Preparing, editing, formatting, and revising correspondence and various documents in accordance with the requirements set by the Partner.

Requirements

  • Legal Assistant diploma or college certificate in office administration or Information & Communications Technologies or equivalent.
  • Minimum 5 years of experience as an executive/legal assistant with experience ideally acquired in a professional services environment.
  • 2+ years of experience with litigation practice work is an asset.
  • Bilingualism (French and English, oral and written) is required.
  • Responsibilities may require availability beyond regular working hours and a more frequent in-office schedule to manage and respond to requests in a timely manner.
