Prepare, edit, format, print, scan and proofread correspondence, memos, litigation documents, reports, forms, labels and all documents produced by dictation, typing or otherwise, in accordance with the requirements established by the practice group
Coordinate and assign tasks to various resource groups, where applicable, ensuring tasks are completed in a timely manner
Perform proofreading and ensure documents are clear, properly formatted, and free of spelling and grammatical errors
Assist lawyers in preparing and coordinating hearings and trials; record and monitor court appearance dates, procedural steps and filing requirements
Prepare basic court filings and other visual materials to be presented in court
Coordinate service and filings of proceedings with sheriffs/process servers and the Court
Schedule and coordinate examinations, expert testimony or other court-designated hearings
Manage evidence collection
Maintain an in-depth knowledge of legal terminology, court rules and procedures, and medical terminology where applicable
Manage files, including opening new files, maintaining large and complex files, and developing, maintaining and using an organized filing and retrieval system to facilitate access to paper or electronic records
Update calendars for designated lawyers, including physical reminder systems, meetings, appointments, deadlines and client-related activities
Coordinate lawyers' travel arrangements, including preparing itineraries and expense reports
Regularly update contact names and addresses in the client database
Review and route incoming mail and faxes; prepare and process outgoing mail and faxes
Receive, process, screen and direct incoming calls per lawyers' instructions; respond to routine inquiries and client requests; take messages as required
Assist daily with time-entry preparation and closing in accordance with firm standards for processing by the accounting department
Work with Finance to coordinate the opening of new client files and new retainers
Provide consistent support when other assistants are absent; assist assistants facing tight deadlines; work proactively, positively and productively as a team member
Requirements
Legal assistant diploma or equivalent
Minimum three years of experience as a litigation legal assistant
Bilingual (French and English, spoken and written)
Thorough knowledge of legal terminology and court rules and procedures
Strong attention to detail and advanced word-processing, spelling, proofreading and editing skills
Ability to perform tasks quickly and accurately
Excellent time-management skills to meet tight deadlines; organizational skills and versatility; ability to work under pressure
Ability to follow up on matters while meeting timelines with minimal supervision
Highest level of discretion and respect for confidentiality
High flexibility to work overtime when necessary
