About the role
- You are the first point of contact for our participants; you ensure smooth course operations and handle general administrative tasks as well as light IT duties.
- You are responsible for the smooth execution of administrative processes related to course delivery and act as a liaison between the teaching team and participants.
- You handle education vouchers, prepare contract documents, record absences, and issue certificates upon successful completion.
- You support participants, prospective participants, and colleagues with questions or issues via video calls or telephone.
- You maintain close contact with our funding bodies regarding reporting and extensions of measures for participants.
- You support the improvement of internal processes to continuously enhance the participant experience.
Requirements
- Communication & service mindset: You communicate clearly, politely, and solution-oriented — and enjoy actively supporting participants.
- Structure & reliability: You work in an organized manner, prioritize effectively, and keep an overview even with many concurrent topics.
- Ownership: You work independently, tackle issues proactively, and find pragmatic solutions rather than waiting for instructions.
- Empathy & tact: You can relate to different life situations and provide respectful support — even in challenging moments.
- Hands-on mentality: You enjoy a dynamic environment with varied tasks and want to make a real impact.
- German: You speak and write German at native proficiency (C2).
- Tools & digital skills: Confident use of Google Workspace (Gmail, Calendar, Docs, etc.); ideally some initial experience with CRM/support tools (e.g., HubSpot).
