About the role
- You are the primary point of contact for our participants, ensuring smooth training operations and handling general administrative tasks as well as light IT duties.
- You are responsible for the smooth execution of administrative processes related to course delivery and act as the interface between the teaching team and participants.
- You handle the processing of education vouchers, prepare contract documents, record absences, and issue certificates upon successful completion.
- You assist participants, prospective participants, and colleagues with questions or issues via video calls or by phone.
- You maintain close communication with our funding agencies regarding reporting and requests to extend measures for participants.
- You contribute to improving internal processes to continuously enhance the participant experience.
Requirements
- Communication & service mindset: You communicate clearly, courteously and solution-oriented—and enjoy actively supporting participants.
- Structure & reliability: You work in an organized manner, prioritize effectively, and keep an overview even when handling multiple concurrent topics.
- Self‑responsibility: You work independently, tackle tasks proactively and find pragmatic solutions instead of waiting for instructions.
- Empathy & sensitivity: You can put yourself in different life situations and support people respectfully—even in challenging moments.
- Hands-on mentality: You enjoy a dynamic environment with varied tasks and want to have a real impact.
- German: You speak and write German at native level (C2).
- Tools & digital skills: Confident use of Google Workspace (Gmail, Calendar, Docs, etc.); ideally some first experience with CRM/support tools (e.g., HubSpot).
