About the role

Key responsibilities & impact
  • Support execution of direct and consignment purchasing processes, including obtaining quotes, issuing purchase orders and tracking deliveries.
  • Maintain contact with suppliers and assist negotiations related to the area’s operational needs, with leadership oversight.
  • Monitor inventory levels, identify replenishment needs and contribute to appropriate product stocking.
  • Assist in analysis of inventory and sales information, such as turnover, coverage and sales volume, contributing to purchasing planning.
  • Organize and submit information for registration and updating of products, suppliers, prices and other data in the systems used by MASP.
  • Perform administrative routines for the area, including receiving, organizing and processing documents, internal controls, contracts and issuing invoices.
  • Support processes related to distribution of consigned publications and administrative sales, performing controls, issuing orders and following up on logistics.
  • Interface with departments such as Tax, Finance, Accounting, Technology and other internal teams, contributing to progress and resolution of the area’s requests.
  • Support inventories, external events, fairs and other activities related to the MASP Store operation, as needed.
  • Identify opportunities to improve routines and processes under your responsibility, sharing suggestions and supporting implementation of improvements.
  • Work at the MASP Store, the MASP museum shop that provides transformative and welcoming experiences through the visual arts.

Requirements

What you’ll need
  • Bachelor’s degree completed in Administration, Commercial Management, Production Engineering, Logistics or related fields.
  • Knowledge of administrative routines and processes.
  • Basic knowledge of purchasing and supplier relations.
  • Basic knowledge of inventory control and logistics.
  • Basic knowledge of tax processes related to product commercialization.
  • Proficiency in Microsoft Office, with intermediate-level Excel.
  • Organizational skills and attention to detail for tracking documents, controls and information.
  • Good communication and ease in interfacing with different areas and suppliers.
  • Collaborative, dynamic profile with interest in learning and taking on new tasks.
  • Proactivity and willingness to seek solutions and contribute to process improvements.
  • Previous experience in administrative routines, purchasing, inventory, logistics or commercial activities.
  • Knowledge of ERP systems, such as TOTVS Protheus or similar.
  • Knowledge of BI tools, such as Power BI or similar.
  • Familiarity with commercial consignment processes.
  • Knowledge of contract management.
  • Intermediate English.
  • Complementary courses in Purchasing, Inventory Management, Excel or related areas.
  • Experience in retail environments, stores, cultural institutions or operations that commercialize products.
  • Experience monitoring inventory and sales indicators.
  • Ability to handle different activities and simultaneous demands.
  • Interest in learning different facets of the operation and contributing new possibilities to the area.
