About the role

Key responsibilities & impact
  • Provide administrative support to 3–6 senior stakeholders from specialist teams
  • Book business travel and organize video conferences
  • Process expense reports, timesheets and vendor invoices
  • Plan external and internal meetings and events
  • Enter and update client contact data in CRM
  • Collaborate with other assistants to ensure seamless execution of duties
  • Coordinate team logistics and manage projects and client project timelines
  • Track issues, assist with resolutions and escalate as appropriate
  • Liaise with support functions including OS, HC, DTP, Finance and Events
  • Liaise with iProcurement to ensure payment to active vendors
  • Assist with project-group hotel bookings
  • Provide coverage for EAs who are out of the office
  • Provide short-term coverage for Principals and Partners during EA assignment transitions or onboarding
  • Coordinate team logistics and weekly vendor payments
  • Manage calendars, including accepting and declining meetings and resolving calendar conflicts
  • Identify and reserve meeting spaces
  • Review scheduled meetings to ensure accurate logistics and avoid back-to-back dial-ins
  • Handle ad hoc administrative requests, including administrative support for RFPs and tender responses

Requirements

What you’ll need
  • At least two years’ experience of working in a similar role
  • Experience in financial services, management consultancy and/or a professional services environment a plus
  • Positive and proactive while still being collaborative
  • Highly organized and detail-oriented; able to work within a team and independently
  • Professional, tactful and able to engage with colleagues at all levels
