About the role
Key responsibilities & impact- Provide critical administration, coordination, and project management support to assist in meeting strategic and organizational objectives
- Maintain operational performance and accountability requirements
- Support the efficient organization and functioning of the Maamwesying Ontario Health Team
- Coordinate meetings, events, travel arrangements, and logistics
- Support project coordination and track deliverables, timelines, and action items
- Support financial and administrative processes, including invoice tracking, expense reconciliation, procurement coordination, and financial documentation
- Coordinate virtual meetings and provide basic technical troubleshooting support
- Maintain SharePoint sites and manage electronic document filing systems
- Streamline workflows, improve processes, and support implementation of new systems, tools, and ways of working
- Build and maintain effective working relationships with internal and external partners
- Anticipate organizational needs and adapt to evolving priorities and transformational initiatives
- Report to the Maamwesying Ontario Health Team Operations Manager
Requirements
What you’ll need- Post-secondary education in Business Administration, Health Administration, or a related field
- Minimum three (3) years of experience providing executive-level administrative support to senior leaders or directors
- Advanced proficiency in Microsoft 365 applications, including Word, Excel, Outlook, PowerPoint, Teams, Forms, and SharePoint
- Experience coordinating virtual meetings and providing basic technical troubleshooting support
- Experience maintaining SharePoint sites and managing electronic document filing systems
- Experience supporting financial and administrative processes, including invoice tracking, expense reconciliation, procurement coordination, and financial documentation
- Ability to handle highly confidential and sensitive information with discretion and professionalism
- Strong organizational, planning, time management, and critical thinking skills
- Ability to prioritize competing demands and manage multiple projects within tight deadlines
- Excellent judgment, problem-solving skills, and attention to detail
- Strong interpersonal, written, and verbal communication skills
- Experience coordinating meetings, events, travel arrangements, and logistics
- Ability to build and maintain effective working relationships with internal and external partners
- Experience with project coordination and tracking deliverables, timelines, and action items
- Demonstrated interest in continuous improvement and identifying opportunities to enhance administrative and operational effectiveness
- Ability to streamline workflows, improve processes, and support implementation of new systems, tools, and ways of working
- Openness to change and ability to adapt to evolving priorities, organizational needs, and transformational initiatives

- Experience with information management systems
- Demonstrated sensitivity to and knowledge of First Nation cultural values, traditions, and communities
- Ability to work flexible hours, including occasional evenings and unplanned overtime
- Ability to travel as required
- Valid Ontario driver's licence and access to a reliable vehicle
- Ability to provide a satisfactory Criminal Record Check as a condition of employment
- Ability to provide an acceptable vulnerable sector police records check as a condition of employment
- Experience in a healthcare, Indigenous, public sector, or not-for-profit environment is considered an asset
- Ability to speak Ojibway is considered an asset
