About the role
- Maintain and update the fleet management software (creation and administration of vehicle and driver records)
- Process driver and vehicle changes according to guidelines
- Manage and issue fuel cards
- Assist with vehicle scheduling and allocation
- Organize and coordinate vehicle handovers, returns and transfers
- Prepare data and support reporting (KPIs)
- Support process implementation and process optimization
- Perform factual invoice checks and forward for approval
- Maintain and manage contract documents (e.g., leasing contracts, purchase invoices)
- Assist with procurement and administrative processing
- Help ensure compliance with legal requirements (e.g., vehicle inspections [HU], accident prevention checks [UVV], driver license checks)
- Communicate with suppliers and service providers as agreed
- Handle regulatory fines, insurance documentation and damage reports
Requirements
- Completed commercial or technical vocational training or degree (e.g., certified business administrator, automotive salesperson, logistics specialist)
- Professional experience in fleet management
- Analytical, structured way of working
- Strong numerical aptitude
- Confident use of MS Office (especially Excel)
