About the role

Key responsibilities & impact
  • Support NOAA's CO-OPS Field Operations Division Pacific Operations Branch
  • Manage office operations and administrative procedures
  • Document Division and Branch activities
  • Assist with technical projects periodically or on an interim basis
  • Answer and direct telephone calls and building visitors
  • Perform clerical duties, including maintaining records, preparing and verifying documents, typing, filing, photocopying, mailing, and shipping
  • Use office automation software to prepare technical reports, presentations, and publications
  • Review, date-stamp, track, and prepare invoices and utility bills for payment
  • Develop working relationships with Federal Project Leads to fulfill on-site work requirements
  • Assist with simplified acquisitions and office supply orders
  • Route and monitor official correspondence through document tracking systems
  • Provide travel authorization and reimbursement support
  • Assist with time and attendance record-keeping
  • Track and document vehicle and vessel usage
  • Prepare office meetings and manage calendars
  • Provide short-term, emergency, and technical project assistance
  • Work with management and technical staff to meet tasking objectives and quality assurance procedures
  • Provide continuity of administrative support when overtasked or out of the office

Requirements

What you’ll need
  • Government experience is a plus
  • Experience working with the E2 travel system is greatly desired
  • Knowledge and experience supporting hiring actions, including redacting resumes, scheduling interviews, and assisting new staff with onboarding
  • Clerical, office management, and daily office operations experience
  • Ability to provide technical project assistance
  • Ability to organize and dictate meetings and manage calendars
  • Experience conducting travel arrangements, preparation, and reconciliation
  • Proficiency using personal computers and office applications for word processing, spreadsheets, and data manipulation
  • Experience tracking and paying invoices
  • Ability to multitask, prioritize work, and meet deadlines
  • Ability to review multiple office calendars and develop an administrative task calendar
  • Ability to work with management and technical staff
  • Ability to comply with corporate quality assurance procedures and policies
