About the role

Key responsibilities & impact
  • Support account managers and client teams across a portfolio of digital marketing, website, branding, and technology projects
  • Create and maintain project plans and timelines within Monday.com
  • Build project boards, create tickets, assign tasks, establish dependencies, and maintain project documentation
  • Monitor project progress and proactively identify schedule risks, blockers, or overdue tasks
  • Coordinate work across design, development, marketing, strategy, and content teams
  • Follow up with team members to help keep deliverables on schedule
  • Ensure project tasks are accurately estimated, assigned, and updated throughout the project lifecycle
  • Facilitate internal project kickoff meetings and recurring status meetings
  • Document meeting notes, decisions, action items, and next steps
  • Communicate project updates, scheduling concerns, and potential risks to the appropriate team members
  • Help maintain alignment across account management, project management, and delivery teams
  • Build positive working relationships while providing consistent and proactive follow-through
  • Partner with account managers to ensure project scope, timelines, and client priorities are accurately reflected in project management systems
  • Maintain project briefs, status reports, meeting notes, action items, and supporting documentation
  • Track project milestones, approvals, dependencies, and deliverables
  • Ensure information remains current, organized, and accessible to project stakeholders
  • Maintain consistency across project management standards and Monday.com best practices
  • Assist with resource coordination by identifying upcoming workload conflicts and communicating capacity concerns
  • Help teams navigate changing priorities while maintaining organization and accuracy
  • Identify opportunities to improve project workflows, templates, and operational processes
  • Support the consistent adoption of project management practices
  • Help prevent tasks, decisions, and deliverables from falling through the cracks

Requirements

What you’ll need
  • 2+ years of experience in project coordination, project management, operations, or a related role
  • Agency experience is strongly preferred
  • Exceptional organization and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Proactive approach to identifying and resolving potential issues
  • Ability to keep projects moving while building positive working relationships across teams
  • Comfortable adapting to changing priorities while maintaining accuracy
  • Experience with Monday.com, Asana, ClickUp, Jira, or similar project management platforms
  • Familiarity with Google Workspace, Slack, and collaborative digital tools
