About the role

Key responsibilities & impact
  • Provide high-level support to the General Counsel, including schedule management, meeting coordination, and materials preparation
  • Handle confidential and privileged information with discretion
  • Manage complex executive calendars and scheduling using Microsoft Outlook
  • Review and manage executive inboxes, file emails, track follow-ups, draft correspondence, and respond on executives’ behalf
  • Coordinate and obtain electronic and wet signatures for legal and other time-sensitive documents
  • Document meeting minutes and related notes
  • Arrange business travel, itineraries, and agendas
  • Help executives organize and track task lists using project management tools
  • Conduct research and manage special projects
  • Coordinate internal and external meetings, team events, and key touchpoints
  • Track reports, maintain files, and follow up on meeting items
  • Organize and submit expense reports
  • Provide backup front office support to the Office Manager
  • Assist with occasional light personal tasks, including travel arrangements and reservations
  • Use Gen AI tools to draft communications, summarize information, organize content, and streamline administrative work while maintaining judgment, accuracy, and confidentiality
  • Take on additional responsibilities and special assignments as needed
  • Support corporate executive team members and help drive deal closings by coordinating legal documentation, signatures, and notarization

Requirements

What you’ll need
  • 5+ years of Executive Assistant experience, preferably supporting senior leaders in a legal, finance, or corporate real estate environment
  • Bachelor’s degree required
  • New York Notary Public commission is a major plus; willingness to become a Notary Public is required
  • Highly proficient in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint
  • Experience managing complex calendars, travel, expenses, and document workflows
  • Experience managing an executive inbox
  • Experience supporting document execution processes, including legal documents requiring signatures and notarization, is strongly preferred
  • Proven ability to handle sensitive information and communicate on behalf of executives with sound judgment, discretion, and professionalism
  • Exceptional attention to detail and ability to manage deadlines in a fast-moving environment
  • Proactive, solutions-oriented mindset and ability to anticipate needs
  • Strong initiative and ability to work independently while aligned with executive priorities
  • Excellent written and verbal communication skills
  • Experience or comfort using Gen AI tools with sound judgment around accuracy, confidentiality, and appropriate use
  • Sharp, polished, and highly professional presence
  • Positive attitude, strong ownership, and willingness to help wherever needed
