About the role
- Greet and host candidates and new hires to create a welcoming experience.
- Run new hire orientation and onboarding programs to ensure smooth integration.
- Organize employee gatherings, board meetings, and company-sponsored activities.
- Support data entry, employee record accuracy, and payroll runs in Rippling.
- Partner with HR, IT, and Finance to maintain compliance and process improvements.
- Coordinate candidate scheduling and communication in Ashby and ensure seamless hiring-to-onboarding process.
- Design and maintain safe, clean, and welcoming office environments aligned with LILT’s culture.
- Oversee vendor and landlord relationships (including WeWork) to ensure consistent operations and comfort.
- Partner with IT to maintain workplace technology (entry systems, A/V, printers, connectivity).
- Manage supplies, snacks, and office budgets.
- Coordinate consistent procedures and experiences across all offices and hubs.
- Open and close offices in partnership with leadership and manage part-time office support in other hubs.
Requirements
- 5+ years of experience in workplace operations, HR, or employee experience.
- Service-oriented with excellent communication and organizational skills.
- Comfortable balancing detail-oriented administrative work with people-facing responsibilities.
- Experienced in managing budgets, vendors, and cross-functional projects.
- Familiarity with tools like Rippling, Ashby, GSuite, Slack.
- Able to work across time zones, cultures, and markets.
- Authorization to work in the U.S. required.
- Able and willing to work 3 days per week in the office (hybrid).
