About the role

  • Greet and host candidates and new hires to create a welcoming experience.
  • Run new hire orientation and onboarding programs to ensure smooth integration.
  • Organize employee gatherings, board meetings, and company-sponsored activities.
  • Support data entry, employee record accuracy, and payroll runs in Rippling.
  • Partner with HR, IT, and Finance to maintain compliance and process improvements.
  • Coordinate candidate scheduling and communication in Ashby and ensure seamless hiring-to-onboarding process.
  • Design and maintain safe, clean, and welcoming office environments aligned with LILT’s culture.
  • Oversee vendor and landlord relationships (including WeWork) to ensure consistent operations and comfort.
  • Partner with IT to maintain workplace technology (entry systems, A/V, printers, connectivity).
  • Manage supplies, snacks, and office budgets.
  • Coordinate consistent procedures and experiences across all offices and hubs.
  • Open and close offices in partnership with leadership and manage part-time office support in other hubs.

Requirements

  • 5+ years of experience in workplace operations, HR, or employee experience.
  • Service-oriented with excellent communication and organizational skills.
  • Comfortable balancing detail-oriented administrative work with people-facing responsibilities.
  • Experienced in managing budgets, vendors, and cross-functional projects.
  • Familiarity with tools like Rippling, Ashby, GSuite, Slack.
  • Able to work across time zones, cultures, and markets.
  • Authorization to work in the U.S. required.
  • Able and willing to work 3 days per week in the office (hybrid).
