Department Administrative Assistant – General

About the role
Key responsibilities & impact- Organize and manage the routine work activities of the department
- Provide clerical services to department supervisors
- Compile pertinent data as needed when preparing various state and local reports
- Maintain physical and computerized departmental files
- Maintain records as needed
- Answer incoming calls, take reliable messages, and route to appropriate staff
- Maintain a schedule of appointments and make travel arrangements for department staff
- Receive, sort, and distribute mail and other documents to department staff
- Maintain confidentiality of information
- Schedule meetings and appointments, including training rooms, and maintain calendars
- Receive, store, and issue supplies and equipment
- Manage department reception desk when needed
- Perform routine bookkeeping tasks for the department
- Assist with the preparation of purchase orders and payment authorizations
Requirements
What you’ll need- High school diploma or GED
- College degree preferred
- Proficient skills in keyboarding, word processing, and file maintenance
- Effective organizational, communication, and interpersonal skills
- Ability to use software to develop spreadsheets, databases, word processing, and general office publications
- Ability to prioritize workflow to address the multiple needs of the supervisor
- Knowledge of basic accounting principles
- Willingness to collaborate with members of an office team
- Ability to maintain confidentiality of information
- Ability to work independently and problem solve as needed
- Three years of administrative support experience preferred, preferably in a public education environment
