About the role
Key responsibilities & impact- Provide advanced administrative support to departmental leadership and staff
- Manage calendars, meetings, training events, and travel-related activities
- Prepare, edit, and maintain reports, presentations, records, and confidential documents
- Manage controlled documents, SOPs, forms, and compliance-related records
- Compile data, perform data quality reviews, and support reporting activities
- Process purchase orders, reimbursements, work orders, and facility requests
- Coordinate inventory, equipment maintenance, vendor communications, and supply ordering
- Track attendance and support workforce scheduling needs
- Maintain system access documentation and user permission records
- Provide guidance and task support to Administrative Assistant I and II staff
- Support department-specific activities and special projects as assigned
- Support efficient departmental operations through documentation, scheduling, reporting, compliance activities, inventory and project management, and cross-functional initiatives
Requirements
What you’ll need- High school diploma with 5 or more years of administrative support experience; or Associate degree in Business Administration, Office Management, or a closely aligned field with 3 or more years of experience; or Bachelor’s degree in Business Administration, Office Management, or a closely aligned field with 1 or more years of experience
- 1 or more years of related administrative experience supporting healthcare, research, finance, or other regulated environments
- Effective written and verbal communication skills
- Strong organization and prioritization of multiple assignments
- Ability to maintain confidentiality when handling sensitive information
- Initiative and problem-solving in administrative situations
- Ability to collaborate effectively across teams and departments
- Bachelor’s degree in Business Administration, Office Management, or a closely aligned field preferred
- Experience working in Information Technology (IT) preferred
