About the role
- Serve as the main point of contact for all U.S. and global payroll matters, coordinating between internal stakeholders and external payroll providers.
- Review and validate payroll data for accuracy, including new hires, terminations, compensation changes, and other updates before each pay cycle.
- Ensure all payroll documentation is complete, accurate, and maintained in compliance with company policies as well as federal, state, local, and international regulations.
- Audit and manage payroll inputs and outputs, ensuring timely, accurate payroll processing by outsourced providers.
- Oversee the implementation, documentation, and maintenance of payroll controls and processes.
- Manage and submit payroll exceptions, including: Leave of absence deductions and adjustments, Salary continuation payments, 401(k) loan deductions, deferrals, and contributions, FSA, HSA, incentives, reimbursements, and allowance deductions, Other benefit deduction and contribution updates.
- Support and coordinate off-cycle payroll, ensuring accurate and timely payments outside the regular schedule.
- Work closely with HR, Benefits, Finance, and other departments to ensure prompt, accurate handling of payroll exceptions and special cases.
- Coordinate with tax, finance, and rewards team for payroll tasks related to the equity award compensation plan.
- Assist with annual 401(k) audits by collaborating with external auditors and internal teams.
- Review employee PTO balances, identify discrepancies, and support resolution.
- Respond to and resolve employee inquiries related to payroll, deductions, taxation, and related issues.
- Ensure workers’ compensation policies and payroll records are kept up to date and compliant with state requirements in all U.S. locations where employees are active.
- Support year-end processes, including W-2 review, tax filings, and audits.
- Stay up-to-date on payroll laws and regulations; ensure ongoing compliance and recommend process improvements.
- Work closely with the Tax & Compliance teams to ensure all regulatory, state, and federal tax filings and payments are completed accurately and on time.
Requirements
- Bachelor's degree in Accounting, Finance, Human Resources, or related field, or equivalent experience.
- 3+ years of payroll administration or management experience, preferably in a global and/or outsourced payroll environment.
- Strong knowledge of U.S. payroll laws, multi-state payroll, and global payroll best practices.
- Prior experience working with external payroll providers (e.g., ADP, Paychex, or similar).
- Demonstrated expertise with HRIS and payroll systems; Workday experience required (with emphasis on Payroll, Leave of Absence, and HRIS modules).
- Excellent attention to detail, organizational, and problem-solving skills.
- Strong communication and interpersonal skills; ability to work cross-functionally and with international teams.
- Proven ability to handle sensitive and confidential information with discretion.
