  • Prepare comprehensive briefing materials for meetings, speaking events, and travel.
  • Coordinate all aspects of domestic and international travel, including logistics and accommodations.
  • Monitor travel plans proactively, adjusting logistics in real time as needed.
  • Coordinate cross-functional projects and events, identifying opportunities to streamline processes.
  • Track and oversee team tasks, budgets, and meeting schedules to ensure deadlines are met.
  • Process expense reports, purchase orders, and budget reconciliations with accuracy.
  • Build relationships with the broader team while acting as a gatekeeper for the executives.
  • Anticipate needs and potential issues before they arise, planning for multiple contingencies.

Requirements

What you’ll need
  • 10+ years of proven experience as an executive assistant, administrative manager, or similar role supporting senior leadership.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Strong organizational skills with exceptional attention to detail in a fast-paced setting.
  • Natural talent for improving processes and remaining calm during periods of disorganization.
  • Strong sense of urgency with the ability to complete tasks quickly while anticipating the next one.
  • Highly proficient with Google Suite, MS Office Suite, Adobe Suite, MacOS, and generally tech savvy.
  • Familiarity with communications strategies, executive affairs, and leadership environments.
  • Excellent written and verbal communication skills.
  • Flexibility in approach, as the business operates across all time zones.
  • Experience in budget tracking, travel coordination, event planning, and stakeholder engagement.
